Record the activity steps with the Task recorder!
Only manually create the steps for an activity if the steps are outside D365 F&SCM.

Prepare for task recording

Before you start the Task recorder, you are advised to:

  1. Create the activity and add it to a flow.
  2. Have the activity description fully finished. This description is automatically copied to the task recording.
Note: Later changes to an activity description must be manually copied to the related task recording!
  3. Prepare the data in your application. So, you can do a smooth recording.
  4. Try/test the steps to be recorded. So, you know exactly what/where to click, fill in, etc. during the recording.
  5. Prepare/write activity step descriptions, titles, and notes in a separate document, for example, in Notepad.
  6. Consider the use of subtasks in the task recording. If you want to include a subtask, make sure you know in advance:
    • How to name it.
    • After which step it starts/must be inserted.
    • After which step it ends.

Record tasks

Record tasks

Start the task recording from an activity. If you start a recording for the first time, the activity description is copied automatically to the task recording description. However, the task recorder only has ‘flat’ text. Therefore, at least, check the copied description on:

  • Returns: are the returns positioned in the right place? If not, add them.
  • Bulleted/numbered lists: manually add the ‘bullets’, use the hyphen (-).
  • White lines: remove the white lines in the task recording description.
You are advised to do a recording in one go, without editing the steps at all and then save it to RapidValue. If you need a subtask, insert it during recording. Adding a subtask later can be quite cumbersome.

Edit task recording

Edit task recording

If you save the task recording to RapidValue, the recorded steps are added to the related activity. These steps aren’t editable in RapidValue. To edit the recorded steps, re-record the task recording.
Usually, the steps, as recorded by the Task recorder, need some rewrite/polishing.
Some basic rules to apply to step descriptions are:

  • Remove all references to data (specific record, field input, etc.)
  • It can be useful to make recorded steps clearer, by adding extra references to form elements. For example: On the General tab, in the Name field, … (where the task recorder only recorded: In the Name field, …)
  • Sometimes, in case of enum fields, a specific value is required. If you’ve done the recording properly, you have already selected this value. However, this isn’t shown by default in the task recorder. So, you must select the proper display option for the step.
  • In the steps, often, you do not record each and any field/button/…. However, you can make some exceptions on this rule. But, only do so if it is required to go on with the next steps or if it is a ‘decisive’ field.
  • If required, add an introduction text or general description to steps. You can do so in the Title field.
  • You also have the option to add notes to each step.
  • Remove all redundant steps. Examples are:
    • Steps related to selecting a record in a grid. This often results in more than one step, while but one step is needed.
    • Wrong clicking during recording.

Sometimes, buttons, fields, or forms are developed that must be explained in an existing task recording. You can insert steps in an existing task recording. Officially, before you click Insert step, you must navigate to the form where you want to restart recording. However, often, this doesn't work properly:

  • For some unknown reason, when you want to insert steps, the clicked elements are not recorded. Usually, there's no need to rerecord the full task recording. The simplest way to solve this: start from the D365 F&SCM landing page with the workspace tiles, click Insert step, and navigate to the desired form. You get some redundant steps recorded, which you can delete when you finished recording.
  • Inserting steps in a sub-task, usually doesn't go well. the newly recorded steps often are added as 'main' steps and not as sub-task steps. So, don't hesitate to rerecord the whole subtask. Make sure to copy the step info from the original recorded steps to the same newly recorded steps.

When you have finished editing the task recording, you can again save it to RapidValue. Always check the result on the activity preview.
Also make sure to save the task recording to your PC and as developer recording for back-up purposes.

  • Save as developer recording. The task recording is saved to your Downloads folder as XML file.
Go to your Downloads folder and move the task guides to the relevant product folder in the 'STAEDEAN Documentation' team in Teams, to the General channel, to the Files > STAEDEAN Docs backup > Task guides backup folder.
